Project Closeout

Extracting what you need before closing your project.

Introduction

When a project comes to completion it may become necessary to extract/export the project data for archiving purposes. This article details the functions available before turning off your AE project.


What can be exported?

There are 4 main categories of export you might like to do when closing out your AE project:

  1. Data/Excel Spreadsheet
  2. Individual PDFs and Attachments to your file system
  3. Data, Files and/or Activity PDFs directly into DAD
  4. Structural (for reuse of Activity Types & Attributes in future projects) to JSON


1. Data/Excel Spreadsheet Exports

There are done in exactly the same way that you normally use AE.

  1. Select a subset of activities in AE and "Open Spreadsheet"
  2. Add any data columns you feel that you need. Note: you should always include "Activity id"
  3. In the General category there is an "Attachments" column that is recommended also.
  4. When you are ready, drop down the menu and select "Export spreadsheet to Excel"


2. Individual PDFs and Attachments to your file system

With your spreadsheet still open from step 1 above

  1. Select all activities.
  2. Drop down the menu and select "Generate individual PDF reports".
  3. Choose which options you require.
  4. We recommend selecting a new empty Output directory specific to closing out your project.
  5. Untick the "Open PDF" checkbox and then click Ok.
The system will now generate and download each activity PDF and store it in your selected directory.

Note: you will see many other files in this directory, these are the attachments that are associated with the activities. The PDFs that you are interested in are suffixed with "_final".


3. Data, Files and/or Activity PDFs directly into DAD

4. Structural Export to JSON

This is a special process and is only recommended for advanced users. Please contact AE support for additional instruction.
